At Kaldi Gourmet Coffee, we make it easy to enjoy premium custom‑roasted coffee and professional equipment. Please review our ordering guidelines below to ensure the best experience.

Coffee Orders
All wholesale coffee is custom roasted to order using 100% Arabica specialty beans and packaged in 5 lb bulk bags with one‑way degassing valves for maximum freshness.

Fast Roasting: Orders placed by 10 am EST are roasted and shipped the same business day.

Grinding: If grinding is requested, please allow 1 extra business day for processing.

Free Shipping: Orders of 20 lbs or more ship free to commercial addresses within the contiguous US (see our Shipping Policy for residential or freight-specific details).
Equipment & Parts

Direct Shipping: Commercial equipment and parts ship directly from the manufacturer. Stock is not guaranteed.

Lead Times: Equipment parts average a 3–6 business day lead time. For machines (Astoria, Bunn, etc.), please allow up to 10 days for processing.

Availability: We recommend contacting us via email or chat to confirm stock and delivery dates prior to placing equipment orders.
Shipping & Backorders

Non-Coffee Items: Orders for stock items placed before 10 am EST usually ship the same business day.

Transit Times: Times are set by carriers (UPS, USPS, FedEx) and may vary.

Backorders: Items not currently in stock will be shipped immediately once available.
Pickup Orders

Notification: You will receive an email notification as soon as your order is ready.

Contactless Pickup: Orders are placed in our secure pickup locker located outside our front door. You can pick up at your convenience—no appointment necessary.

Warehouse Safety: For safety reasons, please do not enter the warehouse facility.
Payments & Promotions

Secure Checkout: All orders are encrypted via SSL and processed on separate secure servers.

Coupons: Codes must be entered during online checkout. They cannot be applied to phone orders or applied retroactively once an order is placed. One code per order.
Cancellations & Returns
Because our products are either fresh-roasted or specialized commercial equipment, specific rules apply to cancellations:

Cancellation Fee: All orders canceled prior to shipment are subject to a 9% processing fee to cover non-refundable merchant costs.

Roasted Coffee: Once roasting has begun, coffee orders are Final Sale. If a cancellation is possible after roasting begins, a 50% surcharge applies.

Equipment: Returns are subject to manufacturer approval and a 25% restocking fee.
